Organizing Your Proposal Brain

Use tags and categories to keep your Proposal Brain organized and improve AI suggestions.

A well-organized Proposal Brain helps CraftRFP generate more relevant and targeted proposals. Here's how to keep your library in order.

Why Organization Matters

When you organize your past proposals:

  • Better AI suggestions - The AI can find relevant examples faster
  • Easier searching - Find specific proposals when you need them
  • Improved learning - The AI understands your different markets and styles

Using Tags

Tags are flexible labels you can apply to any proposal. Common tagging strategies:

By Industry

  • healthcare, finance, technology, government, education

By Contract Size

  • small (under $10k), medium ($10k-$50k), large (over $50k)

By Outcome

  • won, lost, pending

By Type

  • rfp, rfq, rfi, sole-source

Adding Tags

  1. Go to Proposal Brain
  2. Click on any proposal
  3. Click "Add Tags"
  4. Type your tag and press Enter
  5. Repeat for multiple tags

Bulk Tagging

To tag multiple proposals at once:

  1. Select proposals using checkboxes
  2. Click "Bulk Actions"
  3. Choose "Add Tags"
  4. Enter your tags

Best Practices

  • Be consistent - Use the same tag names across proposals
  • Keep it simple - 3-5 tags per proposal is usually enough
  • Review regularly - Update tags as you win or lose contracts
  • Use win data - Tag won proposals to help the AI learn what works

Filtering Your Library

Use the filter sidebar to view proposals by:

  • Tag
  • Upload date
  • File type
  • Industry (if tagged)
